User Metadata Fields

Collect the information about your learners that your organization actually runs on. Add your own profile fields, control who can see and edit each one, and use them to build groups and filter reports.

How It Works

Three Field Types

Add fields of three types: **text** for free entry such as an employee ID or job title, **date** for joining dates and certification expiry, and **dropdown** for a controlled list of options such as department or region, where the learner picks one value. Text fields take a minimum and maximum character length. Date fields take an allowed range so nobody enters a joining date in the next century. Dropdown fields take the option list you define.

Decide Who Sees and Fills Each Field

Every field has settings that matter in an organization: - **Applies to roles**, so a field only appears for the roles it is relevant to. - **Required**, so profiles cannot be left incomplete. - **Admin managed**, so learners can see a field but not change it. This is what you use for an employee ID. - **Sensitive**, for data that should not be casually visible. - **Visible in listings**, so a field appears as a column when you browse users and in your exports. A field cannot be both sensitive and visible in listings, which stops the two settings quietly contradicting each other. Fields are ordered by dragging, so the profile form reads in the sequence you want.

Enforce Unique Values

Turn on uniqueness for a text field and the platform checks your existing users for duplicates in the background. Any conflicts are grouped for you to resolve, so switching on uniqueness for an employee ID surfaces the two records that share one instead of silently failing. Once resolved, the field is enforced going forward.

Use a Field as the Displayed Identifier

You can nominate a text field as the identifier shown for users throughout the admin interface. Set it to Employee ID and your staff see the number they actually use when they look someone up, rather than a system username that means nothing to them.

Feed Groups and Reports

Text, date, and dropdown fields are all usable as user group rules, which is how department, region, and cohort become segments. Fields marked visible in listings appear as columns in user lists and in quiz attempt exports, so a results file arrives already carrying the identifiers your HR or academic systems expect.
