Define a group by the rules that describe it, and let membership look after itself. New sign-ups, profile updates, and course enrollments are all re-evaluated automatically, so a group is current without anyone maintaining a list.
Build a group from any combination of six rule types: - **Text**, matching a text profile field exactly or by what it contains. - **Dropdown**, matching one or more selected options of a dropdown profile field. - **Date**, matching a date field before, after, on, or between dates. - **Roles**, matching users holding any of the roles you choose. - **Email domain**, matching one or more domains. - **Enrolled courses**, matching users enrolled in the courses you choose. Each rule reads back in plain language, such as "Users with Department containing Finance, Operations" or "Users with email domains: acme.com," so a group's definition is legible to someone who did not build it.
Rules combine with AND, not OR. A group with a department rule and a role rule contains only the people who satisfy both. This is worth designing around: if you want either of two conditions, that is two groups rather than one. A group with no rules matches nobody, so an empty definition never accidentally sweeps in your whole user base.
Group membership is re-evaluated when a user is created, when a user's details or profile fields change, and when someone enrolls in a course. Someone whose department field is updated moves groups without an administrator touching anything, and someone who no longer matches is removed automatically.
Rules do not cover every case, so you can also add members manually. Search and pick them individually, or paste a list of identifiers, review what the platform matched, and confirm. Manually added members are marked as such and survive rule re-evaluation, so the exception you made on purpose is not undone the next time the rules run. You can filter a group's member list by whether people arrived by rule or by hand.
