Give people exactly the access their job needs. Four roles come configured, you can create your own, and permissions are granular enough to separate the person who builds courses from the person who approves them.
Every platform ships with Super Admin, Admin, Instructor, and Student already configured with sensible permissions. Those are a starting point, not a ceiling: you can create additional roles and set their permissions yourself. That is how you build a Reviewer who can approve courses but not create them, or a Reporting Analyst who can read progress data and nothing else.
Permissions are organized into six areas: courses, media library, pages, e-commerce, users, and broadcasts. Within each, they are specific rather than all-or-nothing. Course permissions distinguish between viewing all courses and viewing only the ones you manage, with the same split applied to updating, deleting, and seeing students. Course approval and course settings configuration are separate permissions again.
The managing versus all distinction is what makes a large catalog workable. An instructor with managing-level permissions sees the courses they are attached to and their students, and nothing else. An administrator with all-level permissions sees everything. Neither has to be granted more than their role requires.
Viewing sensitive user data is a permission in its own right. Without it, staff can work with user records while email addresses, phone numbers, and any profile fields you marked sensitive stay hidden. Managing user profile fields and configuring user settings are restricted further still. These are controls you operate over your own platform, and they are there so your access policy can be as tight as your obligations require.
Separate the people who build training from the people who administer users and read reports. A regional trainer manages their own courses and learners, while central L&D keeps platform-wide visibility.
Match access to duty. Content authors, approvers, user administrators, and reporting staff each get a role limited to their function, and access to sensitive personal data is granted deliberately rather than by default.
