Decide who can open a course, when it opens, and how long access lasts. Access rules are set on the course itself and enforced every time a learner opens a lesson.
Every course has an access duration setting, and you pick the behavior that matches how you run it: - **Lifetime**, the default, where access never expires. - **Course duration**, where access ends after the course's own configured length, counted from the learner's enrollment. - **Specific date and time**, a hard cut-off that applies to everyone. - **On completion**, where access closes the moment the learner finishes. - **A set period after enrollment**, such as 90 days from the day each learner joined. A learner who reaches an expired course sees a clear explanation with the relevant dates rather than a blank page, so your support team is not fielding confused emails.
Set a course launch date and the course will not open before it, however early someone enrolls. That lets you take enrollments for a cohort ahead of time and have everything unlock together on the first day of the programme.
Attach user groups to a course in two different ways, and they do different jobs. **Optional groups restrict access:** if a course has any attached, only members of one of those groups can open it, and non-members are told the course is restricted rather than being left guessing. **Mandatory groups do the opposite:** every member of a mandatory group is enrolled in the course automatically as soon as they join the group. Between them you can say both "only Finance may take this" and "everyone in Finance must take this."
Beyond the course, you can hide any single lesson or quiz from learners while leaving it in place for your team. That covers a lesson being rewritten, an assessment not yet ready, and material you want staged but not visible. A quiz has to be published before it can be made visible, so an empty assessment cannot be exposed by accident.
Give candidates a defined window to complete a credential rather than open-ended access. Time-limited enrollment is often what the credential's own rules require, and expiry on completion keeps assessment material out of circulation afterwards.
Restrict a programme to the volunteers or partner staff it was funded for, and auto-enroll everyone in a group so nobody has to be chased individually. Hidden lessons let you stage material between cohorts.
Make policy training mandatory for a department by attaching the group, and cap access with a deadline that matches the compliance cycle. Non-members cannot open the course at all.
